Coordinator - Recovery from Addictions Program (RAP) - ( 210002HW )
Description The Recovery from Addictions Program (RAP) operated by
the Department of Mental Health (DMH) is seeking three
(3)--self-motivated and organized individuals who will serve
as--Medical Records Coordinators. The selected candidates will
perform a variety of roles for the Medical Records Department
including, but not limited to, answering phones, printing ID cards,
admitting clients into the database, and analyzing inpatient and
discharge medical records for compliance with RAP, Joint Commission
and CMS requirements. The Medical Records Coordinator will also
provide back up support to other office support staff. Please Note:
This position is 37.5 hours per week. The selected candidate will
work--Monday through Friday. The days off are Sunday and Saturday.
Duties and Responsibilities (these duties are a general summary and
not all inclusive):
- Analyzes discharged medical records at prescribed time
intervals to assure that all RAP, Joint and CMS certification
documentation requirements are in compliance.
- Drafts communications to staff and discipline chiefs to enlist
cooperation in correction of documentation deficiencies.
- Compiles and disseminates statistical information concerning
medical record deficiencies and completes special research projects
- Records medical dictation to provide a permanent, typed record
of patient care; verifies patient information for accuracy and
- Utilizes medical terminology, spelling and English language
rules to the transcription and proofreading of medical dictation
from originators with various languages/dictation styles.
- Recognizes inconsistencies, discrepancies and inaccuracies in
medical dictation while appropriately editing, revising, and
- Highlights reports requiring the attention of the supervisor or
- Utilizes reference materials appropriately and efficiently to
facilitate accuracy, clarity and completeness of--reports.
- Assists with other medical record department functions
including census reconciliation, data entry, record analysis,
diagnosis coding, filing, monitoring--supplies and mail
- Serves as backup to other office support staff as needed or in
their absence. Required Qualifications:
- Knowledge of the English language and ability to follow and
provide both written and oral instructions and reports.--
- Ability to proofread material for grammatical, spelling,
punctuation and proper formatting.
- Talent for establishing and maintaining harmonious working
relationships, and dealing tactfully with others.
- Familiarity with software applications such as Microsoft Office
products (Word, Excel, Outlook) and database management
- Skilled at writing clearly/concisely and maintaining accurate
- Capacity to exercise discretion in handling confidential
information. Preferred Qualifications:
- Ability to perform a variety of job tasks simultaneously, and
flexible to changing priorities and demands.
- Ability to learn medical record coding systems.
- Strong communication--and interpersonal skills.
- Ability to apply knowledge of laws and regulations governing
the release of confidential information and exercising sound
judgment to assure that patients' rights are protected.
- Capacity to sort documents alphabetically accurately and

- Solid workload / time management and problem-solving skills;

- Given the population served, bilingual or multilingual fluency.
About the Recovery from Addictions Program (RAP):
The Department of Mental Health (DMH) in collaboration with the
Department of Public Health (DPH) Bureau of Substance Addiction
Services operates a statewide Recovery from Addictions Program
(RAP) for individuals civilly committed by the courts for substance
use treatment for up to 90 days ("Section 35 commitment").--
The program model will provide acute detoxification and early
clinical stabilization services as we help clients develop
community-based linkages to outpatient supports and substance use
disorder treatment providers. The individuals treated within this
program will be linked upon discharge to a range of services within
the DPH continuum of care for substance use conditions. RAP
provides administrative, medical, clinical, and non-clinical
services. Its mission to provide quality client-centered care and
recovery-oriented treatment. DMH Mission Statement: The Department

Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or
equivalent part-time, experience in administrative work experience
or (B) any equivalent combination of the required experience and
the substitutions below:
I. An Associate's or higher degree with a major in business
administration, business management or public administration may be
substituted for the required experience.
II. An Associate's or higher degree with a major other than in
business administration, business management or public
administration may be substituted for a maximum of one year of the
Education toward such a degree will be prorated on the basis of the
proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of
two years of the required experience.
